VENA
table
This
table lists Vendor names in alphabetical order.
It allows you to search for the vendor by name
to find the vendor code and address. The vendor
code for a company consists of a V followed
by the vendor's FEIN # (Federal Employee Identification
Number) and a suffix. Employee vendor codes
consist of an E followed by their social security
and a suffix. Codes for individuals outside
of NU begin with an I.
To search
for a vendor code by name, go to the VENA table.
Detail
1. If
you are in a
PD, type "p
vena" in
FUNCTION and
press <ENTER>.
2. Type "vena" in FUNCTION
and press <ENTER>.
To
look up an employee or individual, tab to line
one and type the person's last name. To look
up a company, type the first word or two of
the company name. Press <ENTER>. A corresponding
code should appear in column to the right of
the vendor name. If the vendor code is new
and is not on the VENA table or if the address
needs to be updated, contact POPS (Purchase
Order Processing Services).

Tips
Searching
for a company, university or organization
Names
of companies may be abbreviated. Popular abbreviations
are UNIV= University; AMER= American; ASSN=
Association; and ACAD= Academy.
Many
vendors have more than one address but the
same FEIN number so make sure that the address
associated with the Vendor Code suffix (V367897292
A) is the address you wish to use on
the purchase order.
Do
not begin by typing the whole name of the company,
as doing this may take you past the address
you want to use (i.e.: W B Saunders Company
may be found as W B Saunders or W B Saunders
Co). Starting with W B Saunders Company, you
will be past the W B Saunders and W B Saunders
Co listings.
A
company or organization name often referred
to by its initials may be searched for by using
the initials or by using the name. (i.e.: American
Speech Language & Hearing Association is
often referred to as ASHA and listings may
be found as ASHA, A S H A or AMER SPEECH LANG
HEAR) To find the correct vendor code and address
search both ways.
When
typing initials, omit the periods and insert
spaces (i.e.: W.B.E.Z. becomes W B E Z).
A
company name
that begins with
"The"
can be searched
for first by
using "The"
and then by using
the second name
in the title.
Searching
for an individual
Individuals
are usually listed last name first; two spaces
then first name. To search for an individual,
start with the last name only. If the individual
is not listed, search by first name.
Adding
a vendor to the VENA table
To
add a vendor or to change an address for the
vendor in the VENA Table, contact POPS (Purchase
Order Processing Services) at 7-2696 or fill
out a "New
Vendor Code Request Form for Companies"
or "New
Vendor Code Reqest Form for Indiviuals"
found in the Forms
section of this web site and fax it to 7-2741.
If
the vendor being added is for a one time only
payment, please indicate that it is for a one
time only use. (i.e.: an honorarium or a special
cash award to someone outside of the university)
Changing
an address in the VENA table
To
change of address for a vendor already in the
table, be sure to indicate to POPS that this
is a change and not a new vendor. VEND
table
Lists
fax and phone numbers and other detailed information
about a single vendor code. Tab to the VENDOR
field and fill in the vendor code (V + FEIN#
or E/S/I + SSN#). This table can be used to
look through each vendor location by typing
the "A" suffix first and pressing
<ENTER> to proceed to other suffixes.
